How to get your recording out of Microsoft Teams

In Teams for work or school, the organizer and whoever records both need a license that includes recording (Microsoft lists Office 365 Enterprise E1, E3, E5, F3, A1, A3 and A5, and Microsoft 365 Business, Business Premium and Business Essentials), with recording turned on by IT. Guests and people from other organizations can't record a meeting. In Teams for personal use, recording needs a Microsoft 365 Personal, Family or Premium subscription. These steps are for the desktop app with a work or school account.

  1. 1
Start recording. In the meeting, select More actions, then Record. Choose the spoken language and what to record (not Audio only, for clips), then Confirm. Everyone is notified, and one person records at a time.
  2. 2
Stop it. Select More actions, then Recording, then Recording again (Transcribing stops only the transcript). It also stops once everyone has left; it keeps going if only the person who started it leaves.
  3. 3
Know where it went. A meeting's recording saves to the organizer's OneDrive, in the Recordings folder, even if they didn't attend. A channel meeting's goes to the channel's SharePoint site, in a Recordings folder on its Files tab. A 1:1 or group call's goes to the OneDrive of whoever selected Record. It also shows up in the meeting chat, or the channel's conversation.
  4. 4
Download it from Teams. In the meeting chat or the channel, select the Shared tab, find the recording, then select More options and Download. It's an MP4. By default only the organizer and co-organizers can download a meeting's recording. People invited from your organization can watch it; guests and people from outside it, only if it's shared with them.
  5. 5
Or from OneDrive. On the OneDrive website, open the Recordings folder, select the file and select Download at the top, or right-click it. Download it from the folder: OneDrive can't download straight from its Shared view.
  6. 6
Watch the expiry date. Recordings expire after a time your IT admin sets. Microsoft's default is 120 days, and at most 30 for A1 licenses; then the file moves to the recycle bin. The organizer or a co-organizer can change it: open the recording's video player page in the browser, select the expiration countdown under the video, and pick a new timeframe or Remove expiration.

Teams for personal use works differently. The recording appears in the meeting chat and is kept for 30 days, then it's gone. To keep it, find it in the chat and select Download below its date and time. Unlike at work, the recording stops if the person who started it leaves.

How it works

  1. 1

    Upload the MP4

Downloaded from Teams or OneDrive, up to 4 GB and 4 hours. Clyper doesn't open OneDrive or SharePoint links.

  2. 2

    Get the clips

Clyper finds the moments worth posting from what's said, cuts each on whole sentences, frames the speaker and captions it.

  3. 3

    Post them

Check each clip in the editor, download 1080 × 1920 MP4s and post them, on LinkedIn first for most work meetings.

How a Teams recording turns into vertical clips

Teams recordings show at most four people's video at once, and leave out whiteboards and annotations, shared notes, content shared by an app, and videos or animations inside PowerPoint Live. For clips:

  • Cameras on, faces lit. A tile of initials gives Clyper no one to frame, and a small tile in a grid looks soft when it fills a phone.
  • Screen shares: if the speaker's small box in a corner is the only face on screen for most of the clip, Clyper may stack it over the middle of the screen. With more faces beside the share, it frames the faces; with none, it keeps the middle. Keep the text that matters big and central.
  • Sound: moments are found by what's said, so a headset in a quiet room helps more than a better camera, and a demo with no one talking won't be picked.

What to post from a work meeting

Most meetings are for the people in them. The ones worth clipping are made for an audience: a customer webinar, an all-hands talk, a training session, an expert explaining something clearly. LinkedIn is where most of these clips belong; see how to post video on LinkedIn for its specs and captions, and for a webinar run in Teams, webinars to clips. The free watermark tool puts your logo on a clip, and the video to text converter gives you a transcript to find the moments in.

Teams notifies everyone when a recording starts, and Microsoft notes that depending on your region, you may need everyone's permission to record them. Posting is another step. Get the OK of each person seen or heard in a clip, customers and people outside your company above all, and check what your company allows out of internal meetings: product plans and client names don't belong on TikTok. Clip other organizations' meetings only with their permission.

Long meetings and big files

If someone forgets to leave, Teams ends the recording and starts a new one every four hours until the last person leaves. Clyper takes uploads up to 4 hours and 4 GB; for a file over either, cut it into parts with the free video splitter, which copies them without re-encoding. Cut off the minutes before people join, too: a credit is a minute of video.

What it costs

A credit is a minute of video, so a plan is how much video you can clip in a month, however many clips it makes. A 45-minute meeting uses 45 credits and can give up to 22 clips.

Questions

Can I make clips from a Microsoft Teams recording?

Yes. Download the MP4 from the meeting chat's Shared tab or the organizer's OneDrive, and upload it to Clyper. It finds the moments worth posting, frames whoever's talking and captions every word, up to 30 clips per recording.

Where are Teams meeting recordings saved?

In the organizer's OneDrive, in the Recordings folder. A channel meeting's recording is in the channel's SharePoint site, in a Recordings folder on the Files tab, and a call's is in the OneDrive of whoever started recording. In Teams for personal use, it's in the meeting chat for 30 days.

Why can't I download a Teams recording?

By default, only the organizer and co-organizers can download a meeting's recording; others invited from your organization can only watch it. Ask the organizer to download it for you. Admins can also block downloads, including for channel meeting recordings.

Do Teams recordings expire?

Yes, after a time your IT admin sets: Microsoft's default is 120 days, at most 30 for A1 licenses. The organizer or a co-organizer can change or remove the expiration on the recording's player page. In Teams for personal use, recordings expire after 30 days.

Can I record in Microsoft Teams for free?

Not in the free version of Teams. For personal use, recording needs a Microsoft 365 Personal, Family or Premium subscription; for work or school, a license that includes recording, with recording turned on by IT.

Can Clyper connect to Teams or OneDrive?

No. Clyper doesn't connect to Teams, OneDrive or SharePoint, or open their links. Download the MP4 and upload it (MP4, MOV, WebM or MKV, up to 4 GB), or paste a YouTube link if the recording is on YouTube.
